AI Meeting Summaries & Azure DevOps Tasks from Teams

The Meeting Summarizer & Task Creator Agent reads the transcript of every Microsoft Teams meeting, sends each participant a clear summary, and turns the work you agreed on into assigned, prioritised tasks in Azure DevOps. Nobody has to take notes, and nobody has to type up the to-do list afterwards.

Your meeting ends. The follow-up is already done.

Works with: Microsoft Teams · Outlook · Azure DevOps · Azure OpenAI · Power Automate

What the meeting agent does

After each meeting, every participant receives one email containing:

Meeting rating: an overall score from 1 to 10

Summary: a short overview of the conversation

Key points: the main topics discussed

Action items: what needs to be done and who is responsible

Decisions: what the team agreed on

Created tasks: a table of the new Azure DevOps tasks, each linked directly to DevOps

Example of the created-tasks table (illustrative names):

Task

Assigned to

Priority

Due

Fix Safari login failure

Jonas

1 – Urgent

Today

Update release documentation

Lea

3

+3 working days

Overview of the agent and the systems it connects.

How it works

The transcript becomes available. When a recorded Teams meeting finishes and Teams publishes its transcript, the agent starts on its own. There is nothing to click and no bot to invite.

It gathers the context. The agent collects the meeting title, date, times, organiser and attendees, plus the description from the calendar invite. If the title starts with a work item number in brackets, for example [1482] Sprint review, it links the meeting to that Azure DevOps item.

AI reads the whole conversation. A GPT-4o model hosted on Azure OpenAI analyses the transcript and returns a summary, key points, action items with owners, decisions and an overall meeting rating. It writes everything in the language the meeting was held in.

Tasks are created in Azure DevOps. For meetings linked to a work item, each agreed piece of work becomes a Task with a title, description, owner, priority, due date and time estimate. The tasks are attached to the right parent item, so they appear on the board where the team already works.

Everyone gets the recap. The organiser and every attendee receive one formatted email with the rating, summary, key points, action items, decisions and a table of the new tasks.

Sequence: from meeting to recap.
Process: how the agent works.

It handles the details people usually forget

Deadlines respect the work week. Due dates follow working hours (09:00 to 19:00, Monday to Friday). A deadline that would land on a weekend moves to Monday.

Owners matched to real people. When someone in the meeting says "I'll take it", the agent matches the name to your team in Teams and assigns the task to that person in DevOps.

Nothing gets lost. If no clear owner is named, the task is still created and shown as unassigned, so it can be picked up instead of forgotten.

Any meeting language. German, English or another language: the summary and tasks come back in the language your team actually spoke.

Stays out of the way. Meetings without a work item number still get a summary email, but no tasks are created. Your board only fills with work that belongs there.

Keeps the backlog tidy. If the linked item is itself a task, new tasks are attached to its parent instead.

Priorities and due dates

Each task gets a priority from 1 to 4 based on how urgently it was discussed. The due date follows from the priority.

Priority

Meaning

Due date

1

Urgent

Today

2 (default)

Within a day

Today, or the next working day if the meeting ended after 19:00

3

Within three days

Three working days out, weekends skipped

4

No time limit

No due date set

How a task's due date is set.

Who it's for

Project and delivery managers who spend the hour after each meeting writing minutes and creating tickets.

Software and IT teams planning sprints and bug fixes in Azure DevOps.

Client-facing teams who need a written record of what was decided and who owns what.

What you need

Microsoft 365 with Teams meeting transcription switched on.

Azure DevOps for projects and work items.

Power Automate to run the flow.

An Azure OpenAI deployment inside your own Azure subscription.

Frequently asked questions

Does the agent record our meetings?

No. It uses the transcript that Microsoft Teams already creates. If a meeting is not recorded and transcribed, the agent does nothing for that meeting.

Do we have to change how we run meetings?

Very little. Turn on transcription in Teams. If you want tasks created in Azure DevOps, start the meeting title with the work item number in brackets, for example [1482] Sprint review. Everything else works as before.

What happens in meetings without a work item number?

Participants still receive the summary email with the rating, key points, action items and decisions. No tasks are created in Azure DevOps.

Who receives the summary email?

The meeting organiser and every attendee.

How soon does the summary arrive?

The agent starts as soon as Teams makes the transcript available, so the email usually arrives a few minutes after the meeting ends.

Which languages are supported?

The agent detects the main language of the meeting and writes the summary and tasks in that language, for example German or English.

Where is our meeting data processed?

The transcript is analysed by a GPT-4o model running in an Azure OpenAI deployment inside your own Azure subscription, and the flow runs in your own Power Automate environment.

What if a task is assigned to the wrong person or has the wrong priority?

The tasks are ordinary Azure DevOps work items. Your team can edit, reassign or close them like any other task.

What does the meeting rating measure?

It is the AI's overall assessment of the meeting on a scale from 1 to 10, based on the transcript. It gives teams a quick signal of how productive a meeting was.

Can we adjust working hours, priorities or the email layout?

Yes. During setup, Auximo adapts the working hours, priority rules, deadlines and email design to how your team works.

Can we use it without Azure DevOps?

Yes, if you only need meeting summaries. Task creation requires Azure DevOps.

Want this running in your Microsoft 365?

Weekly Project Status Reports with Azure DevOps | Auximo

Auximo's automated weekly project status report is a Word document that shows every running project at a glance: a traffic-light status, a six-stage timeline, whether anything is needed from you and the payment plan. It is built automatically from project data in Azure DevOps and invoice data in bexio, so nobody has to copy numbers by hand. If you can read a traffic light, you can read your report.

Why we built this

When you hand a project to a partner, one question comes back every single week: "So, where are we?"

At Auximo we think you should not have to ask. Every week, you get one clear document that answers it for you: what is going well, what is running late, what we need from you, and where you stand on payments. No jargon, no digging through emails, no guessing.

That document is our automated weekly project status report: a clear, customer-friendly project report built from the data in Azure DevOps and your invoices. This article walks you through it, step by step. You do not need any technical background.

The short version. Once a week, you receive a Word document with every active project we run for you. Each project has a traffic-light status, a timeline, a payment overview and a clear note on whether we need anything from you.

How your report comes to life

Behind the scenes, two sources of information come together. The first is our project work: the tasks, milestones and due dates of your project. The second is your invoices: invoice numbers, due dates and whether they are paid.

Auximo checks this information, does the date calculations for you and writes everything up in a fixed, familiar layout. The result is a Word document prepared for your company, so the report looks the same every week and you always know where to look.

From project work and invoices to one readable report.

The tools behind your project report

A good project status report is only as reliable as the tools it is built on. We use established tools you may already know, and connect them so nobody has to copy numbers by hand.

From your tools to your report: no manual copy and paste.

Azure DevOps (project tracking)

Microsoft's DevOps platform is where we plan and track your project: every project, its steps, due dates and completion dates. Because the status comes straight from the real project data, it reflects what is actually happening.

bexio (invoicing and payments)

Your invoices, invoice numbers, due dates and payment status come from our accounting software, so the payment plan in your report is always current.

Auximo automation

Our own automation reads both sources, calculates the traffic-light status and the timeline, and fills in the report. This is the part that saves hours of manual reporting.

Microsoft Word (your report)

The result is a regular Word document in a fixed layout. Easy to read, easy to forward, easy to archive. No special software or login is needed to open it.

A guided tour of your weekly project report

Every report has two parts. The first page is the Project Overview. After it comes one detail page for each of your projects. Here is the layout:

The report at a glance. Numbers match the list below.

Who and when. Your company name, the date and the calendar week (KW), so you always know which week you are looking at.

All projects at a glance. One row per project with project number, name, type, progress and target date.

Traffic-light status. A coloured dot and a word that tell you how the project is doing.

Where action is needed. A dot that shows whether we need something from you.

A detail page per project. Timeline, payment plan and your project manager, all on one page.

Which projects are included?

Your report lists the projects that are currently running. Finished projects drop out of the report on their own, so it never fills up with old news. Depending on what we are building with you, a project is one of three types:

The traffic light: how is my project doing?

The status is the quickest way to feel the pulse of a project. It always looks at the step we are working on right now and compares today's date with that step's due date.

Im Plan, Gefährdet, Kritisch: green, amber, red.

Good to know. Weekends are not counted. If a due date falls on a Friday, then Monday and Tuesday still count as "Gefährdet". A step only turns "Kritisch" after three full working days have passed. "Gefährdet" is an early warning, not an alarm. It means: we are a little behind, and we are on it.

The timeline: what is done, what is next

Every project follows the same six stages, from the first approval to the final review. The timeline shows them in order, so you see the whole journey at a glance.

The colours do the explaining. Blue stages are finished and show their completion date. The green stage is what we are working on today, which is why it says "Today". Grey stages are still ahead and show their planned date.

Client action: is something needed from me?

Nobody likes a project that stalls because someone was waiting for an answer nobody knew was needed. That is why every project page has a Client Action box.

Red dot: we need something from you. The box tells you exactly what, in plain words.

Green check mark: nothing to do. The box says so clearly, so an empty field never leaves you wondering.

The payment plan: always clear, never a surprise

Every project page also shows your payment plan. Payments are split into three steps, tied to real project progress: 25 % at the start (Down Payment), 50 % at Client Acceptance and 25 % at Go-Live.

An example payment plan. Numbers and dates are illustrative.

For each step you see the invoice number, the due date and a status:

Bezahlt (green): the invoice is paid. Thank you!

Offen (amber): the invoice has been sent and is waiting for payment.

Überfällig (red): the due date has passed and payment is still open.

Noch nicht fällig (grey): there is no invoice for this step yet. Invoice number and due date stay empty until there is one.

What this means for you

Clarity

One document, one layout, every week. You never have to hunt for the status of your project.

Honesty

Delays show up as "Gefährdet" or "Kritisch" instead of being hidden. You hear it from us first.

Less back and forth

Open questions and payments are visible at a glance, so fewer status calls and emails are needed.

That is the Auximo way of working: we do not only build your solution, we keep you in the picture while we do it.

Frequently asked questions

What is the Weekly Project Report?

It is a Word document that summarises the state of all your running projects with Auximo: status, timeline, open questions and payments. It is prepared for your company and follows the same layout every week.

How often do I receive it?

Weekly. The calendar week (KW) and the date are printed at the top, so you always know which week the report covers.

What do Im Plan, Gefährdet and Kritisch mean?

Im Plan (green) means the current step is still before its due date. Gefährdet (amber) means the due date has passed by less than three working days. Kritisch (red) means three or more working days have passed. Weekends are not counted.

My project says "Gefährdet". Should I worry?

No need to panic. It is an early warning that a step is a little behind its planned date. If we need something from you to get back on track, the Client Action box on the project page will say so.

What should I do when I see the red dot under Client Action?

Read the text in the box. It tells you exactly what we need from you, for example a document, a decision or access to a system. Once you have sent it, we continue. If anything is unclear, ask your Auximo project manager.

What does the green check mark mean?

It means there is nothing for you to do right now. The box reads "Keine Aktion des Kunden erforderlich." (no client action required).

Why is my project missing from the report?

The report shows running projects only. A finished project no longer appears. If you expect a project to be listed and it is not, please contact your Auximo project manager.

What are the six timeline stages?

PDD Approval, Development & Unit Testing, Integration Testing, Deployment and UAT, Production Deployment and Project Review. Every project follows this order. Behind the scenes there are a few additional working steps, such as System Documentation and Solution Storing. We group these into the stage they belong to, so your timeline stays simple.

Why does the timeline say "Today"?

"Today" marks the stage we are working on right now. Stages before it show the date they were completed, stages after it show their planned date.

How do I read the payment plan?

Each row is one payment step (Down Payment, Client Acceptance, Go-Live) with its share of the total. You see the invoice number, the due date and a status: Bezahlt (paid), Offen (open), Überfällig (overdue) or Noch nicht fällig (not yet due).

Why are the invoice number and due date empty?

Because there is no invoice for that step yet. The row then shows "Noch nicht fällig". Both fields fill in automatically as soon as the invoice exists.

Who is my contact for a project?

The project manager is named on each project's detail page. That is the person to contact with any question about that project.

Which tools are used to create the project status report?

Project data comes from Azure DevOps, invoice and payment data from bexio. Auximo's automation combines both and produces the finished report as a Microsoft Word document.

Can Auximo set up automated project status reporting for my company?

Yes, that is exactly the kind of thing we love to do. If you already track work in Azure DevOps, we can connect it to a clear weekly project status report in your layout and your language. Get in touch and we will look at your setup together.

Do I need Azure DevOps to receive reports from Auximo?

No. As our customer you simply receive the finished Word report. Azure DevOps is the tool we use to plan and track the work.

What is the difference between a project status report and a dashboard?

A dashboard has to be opened and interpreted. A status report is delivered to you, in a fixed layout, with the interpretation already done: status, next steps and open questions. Many customers prefer that for steering meetings and management updates.

Why is my report in German?

Labels and statuses in the report are in German. If you would like a different language, please tell your Auximo contact.

Want automated project status reports for your company?

Do you track projects in Azure DevOps and spend hours building status reports by hand? Auximo can set up automated, customer-friendly project reporting for your company too.
Calendar-Based Time Tracking with Azure DevOps | Auximo

Auximo's calendar-based time tracking turns ordinary Outlook or Teams calendar events into time entries for Azure DevOps. Once a week, the automation reads every event with a work item ID in square brackets, logs the time against the matching issue or task and fills a SharePoint list with the results. You keep working in your calendar; the automation does the bookkeeping.

Why we built this

Most companies struggle with one question: "Which areas are consuming most of our time, and is it justified?" This question requires an accurate answer, not an estimate, and it needs a method that does not consume even more time.

That is why Auximo created an all-in-one solution for this challenge. It brings your Outlook/Teams calendar, SharePoint and Azure DevOps under one roof. You just create your calendar event, and our automation handles everything else by logging time against the respective issues and tasks in Azure DevOps.

The short version. Once a week, the time tracking automation runs on all user calendars and updates the SharePoint list with the logged times, along with their work item IDs.

How calendar-based time tracking works

What you add to your calendar event

In the Teams or Outlook calendar, the user:

Selects a work type from the categories (optional)

Marks the start and end times

Adds the Azure DevOps issue or task number to the title in square brackets, for example [1234]

Adds a short description of the work done in the body

Example of calendar logging.

What the automation does once a week

The automation runs on all shared calendars once a week and picks up all events and meetings from the previous week that contain a work item ID in square brackets. From the entered work item ID (issue or task number), it extracts the parent work item IDs (epic or issue number) and their names, as well as the project name and number, from Azure DevOps.

All of the extracted information is written to a SharePoint list, which can be used to gain further insights.

Example of the SharePoint fields that are populated.

How edge cases are handled

Accepted meetings: time is logged only for meetings you have accepted.

Your own meetings and appointments: meetings you organise and appointment events are logged automatically.

Cancelled events: these are not considered.

Leave: leave entered in the user's calendar is logged as 8 hours against a "Time-off" issue ID.

Mistakes: if a calendar entry results in a failed time entry, that user receives an email with the problematic entry and how to fix it. After correcting it, the user can manually trigger an automation that logs the corrected entries.

The tools behind time logging

Accurate time logging requires reliable tools, which is why Auximo's calendar time tracking solution uses tools that are reliable and widely adopted in companies.

Outlook/Teams calendar (event and meeting creation)

The calendar is where every work activity is planned, so it is a natural place to log time.

Azure DevOps (project tracking)

Microsoft's DevOps platform is where projects are planned and tracked: every project, its steps, due dates and completion dates. Because the data comes straight from the real project data, it reflects what is actually happening.

SharePoint list (data collection)

A SharePoint list is ideal for creating, maintaining and deleting time entries, which can then easily be used in various post-processing automations to gather further insights.

Auximo automation

Our automation saves the time otherwise spent trying to keep track of time. The resulting overview and clarity help you plan, structure and organise better.

What this means for your team

Clarity

A straightforward way to log time.

Structure

Time entries with all the required information and extractable insights.

Efficiency

Time saved on time logging, plus visibility of the time spent on different tasks.

Together, this provides a user-friendly, all-in-one solution for improving your productivity.

Frequently asked questions

What is calendar-based weekly time tracking?

You log your work as normal Outlook or Teams calendar events. Once a week, Auximo's automation reads those events and logs the time against the matching issues and tasks in Azure DevOps. It also fills a SharePoint list with the results.

What do I need to put in my calendar event?

Start and end times, the Azure DevOps issue or task number in the event title in square brackets (for example [1234]), a short description of the work done in the event body and, optionally, a work type category.

How often does the automation run?

It runs once a week on all shared calendars. It picks up the events from the previous week that have a work item ID in square brackets.

What information does the automation add from Azure DevOps?

From the work item ID you enter, it finds the parent work items (epic or issue) and their names. It also finds the project's name and number. All of this goes into a SharePoint list, which you can use to get further insights.

Which events are logged and which are ignored?

Meetings are logged only if you have accepted them. Meetings you organise and appointment events are logged automatically. Cancelled events are not logged. Leave in your calendar is logged as 8 hours against a "Time-off" issue ID.

What happens if I make a mistake in an entry?

If an entry fails to log, you get an email showing the problematic entry and how to fix it. After you correct it, you can manually trigger an automation to log the corrected entries.

Which tools does this solution use?

Outlook/Teams Calendar, where you create events; Azure DevOps, which holds the project data; SharePoint, where the time entries are stored; and Auximo's automation, which connects the three.

Do I need to learn a new time-tracking tool?

No. You keep using the calendar you already work in. You add the work item ID and a short description to your events, and the automation does the rest.

What can my company do with the logged data?

The SharePoint list holds every entry with its work item and project details. You can use it for further automations and reports on where time is actually going, so you get an answer rather than an estimate.

Invoice & Expense Automation with AuximoLens and bexio

Auximo's invoice and expense system connects supplier invoices, expense receipts and approvals with bexio. AuximoLens, our in-house document analysis system, extracts the key details and prepares account and VAT suggestions, so people review information instead of typing it. Supplier invoices reach bexio after review and approval; expenses reach bexio directly after submission through the Expenses App.

Why we built this

An invoice takes seconds to arrive. Why does the work take so much longer?

It starts with something small. An invoice lands in your inbox. A colleague returns from a business trip with a receipt. Someone buys something for the office and promises to submit the expense later. Nothing unusual. Just another working day.

Then the questions begin. Where should this document go? Who needs to approve it? Has someone already entered the amount? Which account does it belong to? What about the VAT?

The document itself is rarely the difficult part. It is everything that happens afterwards.

Two journeys at a glance: invoices and expenses

Invoices reach bexio after review and approval. Expenses reach bexio directly after submission through the Expenses App, both with the account and VAT type suggestions needed to book them in bexio. The destination is shared; the route is different.

Two entry points and two distinct routes through the work.

The tools behind the invoice and expense workflow

The experience feels simpler when the tools work together. Employees see the app and the information they need; the connections behind it carry the document and its details between steps.

The main connections behind the systems. The invoice and expense routes use these tools differently.

Email for incoming invoices

The invoice journey begins in the mailbox. A supplier invoice received by email enters the invoice processing workflow, so the team has a defined place to start.

Power Apps for the people doing the work

The invoice approval app lets the responsible person review invoices and manages the statuses In Process, Approved and Rejected.

The separate Expenses App lets employees upload receipts, analyse them, review the information and submit their expenses.

AuximoLens for document analysis

AuximoLens is our in-house document analysis system, integrated into both our invoice and expense workflows. It extracts key details and helps reduce manual entry while keeping information available for review and correction.

Auximo automation for the connections

Power Automate and Python components coordinate the processing. The accounting suggestion component uses document information alongside the available bexio accounts and VAT options to prepare a recommendation.

SharePoint for records and documents

SharePoint supports the records and supporting documents used in the workflows, including the invoice approval process. This background storage helps keep information organised as work moves between steps.

bexio for the accounting connection

Approved supplier invoices and submitted employee expenses are sent to bexio. Invoices pass through the approval app first. Expense submissions send an email into the processing workflow, followed by bexio suggestions and submission. The account and VAT master data also support the accounting suggestions.

How the invoice workflow works: from inbox to bexio

Imagine opening a supplier invoice on a busy Monday morning. Before anyone can decide what to do with it, the supplier, dates and total need to be identified. Someone also needs to understand what the purchase was for.

Auximo's workflow extracts invoice details and prepares accounting and VAT suggestions. Instead of starting with a blank record, the reviewer begins with information taken from the document.

The invoice then appears in the invoice approval app with the status In Process. It is waiting for a decision, with a place in the process rather than being another attachment to remember.

From an email attachment to review in the invoice app and transfer to bexio after approval.

A decision that stays visible

The responsible person reviews the invoice and chooses Approve or Reject. The app shows the resulting status. Approved invoices are then sent to bexio. Rejected invoices do not continue through that approved-invoice transfer.

Prepared information and human judgement. Extracting an amount or suggesting an account does not approve a purchase. The review in the invoice approval app is a separate decision.

How the expense workflow works: from receipt to bexio

Meanwhile, a colleague has just paid for something for work. The receipt goes into a pocket. A photo is taken. There is a good chance the thought that follows is familiar: I will deal with this later.

Later, the receipt may still be there, but the details are less clear. What was the purchase for? Which amount should be entered? Where should it be submitted?

The Auximo Expenses App gives that receipt a place to go while the purchase is still fresh.

1. Upload the receipt and let the analysis begin

The employee uploads a receipt image or PDF and runs the analysis. The system helps populate the expense form with information such as the vendor, date, amount, currency and VAT details, depending on what is visible on the document.

2. Check the details and add the context

The employee reviews the result, corrects anything that needs attention and completes the remaining fields. The receipt supplies the purchase details; the employee supplies the context the document cannot explain.

3. Submit the expense and let the workflow continue

When the employee submits the expense, the app sends an email into the processing workflow. AuximoLens processes the document, the bexio account and VAT suggestions are prepared, and the expense is then submitted to bexio. This route uses the shared processing components without the invoice approval app's review stages.

Two apps with different jobs. The invoice app handles approval decisions. The Expenses App collects expense submissions and sends the email that starts their processing. Both routes lead to bexio.

The small change that matters

The employee submits while the purchase is still easy to remember. The email handover then carries the receipt and its details into the accounting workflow.

When a document needs a closer look

Everyday documents are imperfect. A receipt may be blurred, an invoice may use an unfamiliar layout, or a purchase description may be too vague to support a confident recommendation.

Extracted information and accounting suggestions still need appropriate review. In the invoice pipeline, processing failures can be separated for investigation. In the Expenses App, the employee checks and corrects the fields before submitting.

Account and VAT suggestions help prepare the work. Their value comes from giving someone a useful starting point and making the details available for a decision.

What this means for your team

Less manual entry

AuximoLens extracts document details and helps prepare account and VAT suggestions, reducing repetitive typing.

Clear approval status

The invoice app shows which invoices are In Process, Approved or Rejected, so the next step is easier to see.

Connected accounting

Approved invoices and submitted expenses move through their respective workflows into bexio, reducing manual handovers.

Whether an invoice arrives by email or a receipt is submitted through the Expenses App, your team has a clear process to follow, from the first document to its entry in bexio.

Frequently asked questions

Do invoices and expenses follow the same flow?

No. Supplier invoices arrive by email, enter the invoice approval app and are sent to bexio after approval. The Expenses App sends an email after submission. The expense then follows the shared bexio suggestion and submission path, without the invoice approval stage.

What do the invoice statuses mean?

In Process means the invoice is awaiting a decision. Approved means it has been accepted and proceeds to bexio. Rejected means it has been declined and does not proceed through the approved-invoice route.

Can employees correct the receipt analysis?

Yes. Employees review the populated expense fields and can correct or complete them before submitting.

Does AI replace the person approving the invoice?

No. AI helps read documents and prepare suggestions. The responsible person makes the approval or rejection decision in the invoice app.

Give every document a clear next step

Think back to the Monday morning invoice and the receipt waiting on someone's phone. Each now has a place to start and a route to follow.

That is the practical goal behind Auximo's invoice and expense systems: help people finish the work around a document, with less information copied and fewer decisions left unclear.
